Here you will discover how to import a dataset record from Figshare, an open research repository. The principle is the same for all publication types. If you are an academic, the imported record will be visible on your LJMU staff profile. Non-academic staff and postgraduate research students can choose to make their profile public. Please note publications can only be imported if the exported file is in a BIB Tex or RIS format. This will be clear from the publisher site.

Step-by-Step Instructions
- Locate the publication to be imported, in this case a dataset. First, you will need to export the record
- Find the EXPORTS dropdown or option on the publisher site. Sometimes this is named Tools
- Select either BibTeX or RIS to download the record. As noted earlier publication records cannot be imported in any other format
- Open a new tab and Log in to Symplectic On campus you should be automatically logged in. Off campus input your LJMU username followed by @ljmu.ac.uk and your LJMU password. If you have any problems logging in, go to the help section at the end of this guide
- From your homepage select Menu on the top right-hand side represented by 3 equal straight lines
- Underneath Tools select >Import Publications
- Select browse or drag the downloaded file into the box
- Select Open then UPLOAD
- Select IMPORT
- Select OK
- It is important to check the record has imported the correct publication type. From your homepage scroll down to Publications
- Select Publications and search for the title of the record underneath Filter in the Title field
- The record is displaying as JOURNAL ARTICLE. Select the pencil symbol on the right-hand to change to the correct publication type
- If you prefer you can add additional information to the record. To do this select the title, then scroll down to select the pencil symbol on the right-hand side of the manual record. Please note that if you do this, which we recommend, all mandatory data that has an Asterisk (*) on the left-hand side must be completed. The fields covered in this guide are for datasets; different publication types will have different mandatory fields.
- Check all authors are listed. This is important to avoid duplicate records
- In Abstract add further information regarding the dataset
- Input a keyword for your research in the Fields of Research field. A popup will appear to select the most appropriate label. The label you select will move up to the Fields of Research field. You can add more than one
- Use the dropdown to select the correct start and end date of your data collection period
- The next mandatory field is Data Collection Method. For further information on what to enter, hover on the question mark
- Complete the Language (of the data) field
- Enter a copyright holder and select +Add. You can add more than one by selecting +Add again
- Select SAVE
- If you are an academic the record will appear on your LJMU Staff Profile within a couple of minutes. Select your name then PUBLICATIONS. Search for the publication in the Search by title field. The imported record now links out to the publisher site, Figshare. If you select the DOI link the dataset will download in a folder
- All academic staff profiles are set to public view. This is to showcase your research, and this setting cannot be changed. Non-academic staff and postgraduate research students can choose to make their profile public. To do this go back to Symplectic
- From the Homepage select Profile on the left hand-side
- Underneath Profile Privacy it is marked as Internal. Select Switch to edit mode and change to Public
In this example, the dataset was not deposited to the LJMU Research Data Repository as it is already openly available in Figshare.
